Salesforce org like all tech tools needs a review / audit that reveals its true health scenario. A review by an experienced Salesforce partner on a regular basis ensures that you know where your org stands as compared to others and how things can be improved to ensure that it works optimally for you. Do you remember when you got your Salesforce audited by a professional company like ours? Below we have listed some components that come within the gambit of an audit. This is not the entire list of activities that are undertaken but just an idea of what exactly happens in such an audit.
The audit comprises of:
-
Reports and Dashboards. Any user of Salesforce can generate reports as per their needs. As a result, you will find plenty of stuff that is useless/redundant and fit to be discarded. There are reports that were “one-time “ use or for a specific purpose/task and remain parked in the org, gathering dust. Admins of all organizations can eliminate reports using filter criteria within the Setup UI. Begin by generating a report on reports and looking at the last run date to understand which reports are active and which are redundant. At this point, you can understand how many reports to remove – 0 or 10 or100, or even more.
To remove reports in Salesforce, click Setup | Data Management | Mass Delete Records | Mass Delete Reports. Use filters to sieve
-
Appexchange Apps. Salesforce app exchange is a great place to find work / business-related apps native to Salesforce. In enthusiasm companies onboard many apps that are forgotten/served their purpose or were for a specific purpose that is now over. During the audit, decide whether the apps need to be discarded or they still serve a purpose. If they have outlived their utility, then its time to bid adieu. With the apps that need to remain, evaluate whether they need to be upgraded. Click the Update button for the AppExchange programs that require updating and it will run you through the install process. Keep an eye on the changelog for all apps you update so that no adverse impact is felt by your org.
-
User Permissions. This is required when there are multiple admins. If any changes have been effected in employee profiles/roles or permission sets, an audit is a good time to review. Ensure the org is safe by auditing the permissions of all admins &users.
-
Workflows, Validation Rules, and Email Templates. In most cases when they are switched off, it’s because users feel that they might be required again. During the audit, you will find that many of them need to be signed – off permanently. Review rules and move the unwanted ones. This also applies to email templates that are no longer needed.
